Send a client statement
A statement sends your client one email listing every invoice they still need to pay — instead of forwarding or resending invoices one at a time. It's available on all plans.
- Go to Dashboard → Clients and open the client.
- Click Send Statement — it's in the page header, and again in the header of the Invoices tab. (The button is greyed out with a tooltip when the client has no outstanding invoices.)
- Review the recipients. Handl pre-selects the client's billing contact, falling back to the primary contact, then all contacts; you can add or remove anyone before sending.
- Edit the subject if you like — it's pre-filled as "Outstanding invoices — {client} — {agency}".
- Add an optional personal note. It appears above the invoice list in the email.
- Check the live preview on the right — it's the exact email your client will receive, invoice tables included.
- Click Send Statement.
What your client receives
One email listing every outstanding invoice: invoice number, project, due date (overdue ones are flagged), and the amount still owing. Each row has a View & Pay button that links straight to that invoice's payment page. If an invoice is already set to auto-charge, the row shows "Auto-pay scheduled {date}" instead — your client is never asked to pay something that's about to be charged automatically.
If you bill a client in more than one currency, the statement shows a separate table per currency, each with its own subtotal — totals are never blended across currencies. Clients with more than 15 outstanding invoices see the 15 most overdue, plus a "+ N more invoices" link into their client portal for the rest. Disputed invoices are never included, and the compose dialog tells you how many were left out.
Editing the statement template
Go to Settings → Communications and open the Client Statement template. You can edit the subject and body copy; merge fields like the client name, the invoice table and the total stay dynamic — the invoice table itself is always generated by Handl from live invoice data.
Good to know
- If a statement already went to this client in the last 7 days, the compose dialog shows a warning naming who it went to and when — you can still send if you mean to.
- Every statement (and every other email sent for the client) appears in the Sent Emails section of the client's Invoices tab — click any row to see the exact email that was delivered.
- Invoices imported from a previous system that don't have a Handl payment link show "View in portal" instead of a Pay button.
- The statement lists unpaid invoices as of the moment it's sent — payments made in the last 24 hours may not yet be reflected, and the email says so in its footer.
