What happens when a client approves

Approval is the moment a quote turns into a green light — it's a single step for the client, and it sets your project in motion without you needing to countersign anything.

  1. The client enters their details, ticks the approval checkbox, and selects Approve Quote.
  2. The quote's status changes to Approved.
  3. If the project was still in draft or waiting on this signature, it automatically moves to active.
  4. You receive an email letting you know the client has approved the quote.
  5. The client sees a confirmation on screen and receives their own confirmation email.

From here, you can convert the approved quote's line items into billable milestones whenever you're ready (see "Convert an approved quote into milestones").

Good to know

  • Approval is single-sided — there's no additional step where your agency needs to countersign the quote. The client's approval is what activates the project.
  • If the project has already moved past active (for example, it's been marked complete or put on hold), a late approval won't drag it back to active automatically.
  • A quote can only be approved once — if a client tries to approve an already-approved quote, they'll see a message that it's already been signed.

Not immediately — you'll get an email, and from there you can convert the quote into milestones and start work whenever you're ready.

Can a client approve a quote twice?
No — once approved, that quote can't be approved again.
