How time entries sync and get approved
Time you track in Harvest, Toggl, Clockify, or Hubstaff flows into Handl automatically — but it only becomes billable once someone on your team approves it.
Steps
- Time entries sync in from your connected time tracker and land as Pending.
- Open the project's Time area to review what's waiting — you'll see stat tiles for Pending Approval, Pending Hours, Pending Value, and Approved (last 30 days).
- Review each entry and click Approve or Reject (you can also action several at once).
- Approved entries become eligible for invoicing; rejected ones are set aside and never billed.
Good to know
- Only Approved time can be turned into an invoice — pending and rejected entries are excluded automatically.
- You can exclude a specific approved entry from an invoice individually, if you need to write off or hold back a particular piece of work.
- Anyone on your team with project access can currently approve time — there isn't a separate "approver-only" role yet, so it's worth agreeing internally on who handles this.
- Whether a client sees pending time in their portal (versus only approved time) depends on the project's Time visibility setting.
FAQs
Can I reject an entry after approving it? Review entries before they're invoiced — once billed, treat approved time as final for that invoice.
Do clients see time entries before I approve them? It depends on your project's portal Time visibility setting — rejected entries are never shown to clients, regardless.
What happens to rejected time? It stays in your records for reference but never reaches an invoice or the client portal.
