Team utilisation and expected hours
Team utilisation and expected hours
The Team Utilisation report shows how each employee's logged hours compare to what you'd expect from them in a normal week — handy for spotting who's stretched thin and who has room for more work.
Steps
- Go to Reports → Team Utilisation.
- Choose a period — this week, last week, or a month. (Utilisation isn't shown for "All time," since there's no fixed weekly window to measure against over an open-ended range.)
- Each employee shows their expected weekly hours alongside their logged hours, expressed as a Utilisation %.
- Contractors and freelancers show a Billable % instead, since they don't have a fixed weekly capacity to compare against.
- Check the summary row at the top of the report for your whole team's average.
Good to know
- Expected weekly hours default to 38 but can be set per person in their team settings if their normal week is different.
- Utilisation compares logged hours to expected capacity for the period; Billable % compares billable hours to total logged hours — they measure different things.
- If someone shows no utilisation figure, check they have expected weekly hours set, and that you're not viewing the "All time" period.
FAQs
Why don't contractors get a utilisation percentage? Utilisation depends on a fixed weekly capacity, which only applies to employees — contractors are measured on billable % instead.
How do I change someone's expected hours? Update their weekly hours in Settings → Team.
Is the team average weighted by hours worked? The average utilisation is a straight average across employees with a set capacity; billable % is weighted by hours logged.
