Invite a contractor to the Pay portal and set their pay terms
The Pay portal is a separate login where a contractor sees only their own statements, expenses and payout details. They see no client or project data beyond the project names they have logged time to. Before you invite someone, they need to be a costing-only team member with pay terms, so a pay run knows when to open for them.
You need to be an owner or admin, and to have connected a payout provider first.
Start the invite
Either:
- Go to Money → Pay runs. In the setup checklist choose Invite your first contractor (or Invite a team member later). A "Who do you want to pay?" window opens.
- Or go to Settings → Workspace → Team & rates → Costing and choose Invite to Pay portal on the member's row.
In the "Who do you want to pay?" window, pick a costing-only member from the list. Members who are already invited or active are greyed out. If the person is not on the list, choose Add a new costing-only member, enter a name, an optional email and an optional hourly cost rate, and set their pay terms. They will not get a Handl login.
Set pay terms
A pay run only opens for a member who is paid on a schedule. If the member shows Pay terms needed, choose how they are paid:
| Option | What you set |
|---|---|
| Weekly | Pay day, and timing (in arrears or in advance) |
| Fortnightly | Pay day, the last pay date (it must fall on the pay day), and timing |
| Monthly | Pay day of the month, 1 to 28, and timing |
| Net days after the week's statement | Work week ends on, Statement raised on, Paid N days after (7, 10, 14, 30 or another number up to 90), and whether to move to the next business day if the date falls on a weekend |
With "Net days after the week's statement", Handl works out each cycle from those days. For example: week ending Sun 1 Nov, statement Mon 2 Nov, paid Mon 16 Nov. The form previews the next cycle as you fill it in. The statement opens on the day it is raised, not days before the pay date.
You can change pay terms later on Team & rates. If you move a member off "Net days after the week's statement", their open statements for that schedule are closed or moved into the next run of their new schedule.
Fill in the invite
- Email: where the invite goes. The link expires in 48 hours.
- Pay from: the first day of time that goes on their statement. Handl suggests the start of the current pay period. Time before this date is not paid through the portal.
- Pay with: Wise or Airwallex. Only connected providers are listed. If none is connected, connect one under Settings → Money → Pay your team first.
- Payout details: choose one.
- Link an existing recipient from your provider (filtered to the member's cost currency).
- Let the contractor add their own payout details in the portal. They are stored as a provider recipient, never as raw bank details in Handl. Any later change holds their next payout until you acknowledge it.
- Choose Send invite.
After you send it
On Team & rates, the member shows Invited, then Active once they accept. Use Resend to send a fresh link (the old one stops working) or Revoke to cancel the invite. If the invite email could not be sent, Handl tells you and you can use Resend.
To change the Pay from date later, use Change next to "Pay from" on the member's row. The new date applies to statements that are not submitted yet.
How the contractor signs in
The invite email opens a page where they can continue with Google (using the invited email address) or create a password. Later they can link Google from Payout details in the portal.
