Pay your team: how pay runs work

Pay runs let you pay your contractors straight from your own Wise or Airwallex balance, without leaving Handl. Handl drafts each contractor's statement from their approved hours, the contractor checks it, and you approve the run. Nothing is paid until a person approves it, and Handl never holds your funds.

How it works

  1. Connect a payout provider. Wise or Airwallex, under Settings → Money → Pay your team. See Connect Wise or Airwallex to pay contractors.
  2. Invite a contractor. Pick a costing-only team member, set their pay terms and send an invite to the Pay portal. The contractor gets a login limited to their own pay. See Invite a contractor to the Pay portal and set their pay terms.
  3. Handl drafts the statement. A run opens automatically ahead of each pay date. Each contractor's statement is their approved time entries multiplied by their cost rate, or their retainer if they have one.
  4. The contractor reviews. They can add expenses with receipts, add adjustments with a note, ask questions, and submit by the deadline.
  5. You review and approve. Open the run at Money → Pay runs, check each statement, then approve. If a run is over one of your caps, you re-type the total first.
  6. The money moves. Handl creates the transfers in your Wise or Airwallex account and funds them from your balance. When a payout is paid, the contractor gets a remittance by email (unless you have turned that off).

Where things live

  • Money → Pay runs lists every run under Upcoming, Paid and All. It also shows anything that needs your attention: a payout-details change waiting for you, a failed payout, or a run over a cap.
  • Settings → Money → Pay your team holds your providers, run timing, caps and switches. The same settings are on the Settings tab of the Pay runs page.
  • Settings → Workspace → Team & rates → Costing is where you manage costing-only members, their rates and pay terms.

Who can use it

Owners and admins can set up providers, invite contractors, review statements and approve runs. Project managers cannot see pay runs.

What gets paid

  • Time: approved time entries, priced at the cost rate in force on the date of each entry. An entry with no cost rate counts as zero, so check rates before the run opens.
  • Retainer: if the member has a retainer, it drives the total instead of hours.
  • Expenses: receipts the contractor adds, converted into the statement currency at the rate for the date incurred.
  • Adjustments: amounts the contractor adds with a note, for example hours that were not logged. They can be negative.

You pay the provider's transfer fee from your balance. The contractor receives the full statement total in the currency they chose for their payout details.

Money safety

  • A person approves every run before money moves.
  • You can set a maximum per run and per contractor. With the second confirmation switched on, a run over a cap needs the total re-typed.
  • If a contractor changes their payout details, their next payout is held until you acknowledge the change.
  • Every approval is logged with who approved it, when, and the quote used.

FAQs

Does Handl hold my money? No. Payouts leave your own Wise or Airwallex balance.

What if a contractor does not submit in time? Statements that are not ready when you approve roll to the next run instead of being paid.

Where do I approve a run? See Review and approve a pay run.
